How to Transport and Store Event Props Safely

Damage to an event prop usually happens during loading, transport or storage rather than while it is standing at a venue. A simple handling system protects your investment, reduces repair work and helps every booking look professional.

Measure your vehicle before buying

Measure the usable load length, width and height with doors, wheel arches and fixed shelving taken into account. Leave space for blankets, covers, stands, cables, balloons and other equipment. Folding or collapsible props are often the most practical option for mobile businesses.

Protect every surface

Do not allow painted faces or edges to rub against each other. Use clean furniture blankets, foam edge protection or fitted covers, and make sure protective materials do not transfer dirt or colour onto pale finishes.

Keep electrical cables, plugs, remotes and small fittings in labelled containers rather than loose inside the vehicle.

Secure the load

Props should not be able to slide, tip or bounce during the journey. Use suitable straps and stable dividers, taking care not to overtighten against decorative edges. Place heavier, stable items low down and avoid leaning fragile pieces where sudden braking can damage them.

Create a loading order

Load in the reverse order of setup so the first items required at the venue are easiest to reach. A written loading checklist reduces forgotten stands, remotes, fixings and extension leads.

Photograph condition

Take clear photographs before loading, after setup and when items return. For hired props, condition records make customer discussions easier and help identify recurring handling problems.

Store props correctly

  • Use a dry area away from damp floors and leaking roofs.
  • Keep pieces supported so they cannot bow or fall.
  • Separate painted surfaces with clean protection.
  • Label storage positions and accessories.
  • Inspect lights, cables and plugs between hires.
  • Repair small chips before moisture or repeated handling makes them worse.

Allow time for cleaning and inspection

Do not schedule collection and the next delivery too closely. Build in time to clean surfaces, test lights, check fixings and replace damaged protective materials.
